ERP Data Migration: Reconcile Business Records Before You Cut Over

ERP migration succeeds when the records support real operations. Define mapping, reconciliation and acceptance rules before moving data into the new system.

Choose what needs to move

A complete export is not automatically a useful migration scope. Classify active records, required history and material that can remain archived. Agree on identifiers, field mappings and ownership of cleanup decisions.

Financial and operational totals may need different reconciliation rules. Work with the process owners to define evidence that the new system is ready.

Rehearse with representative data

Test duplicates, missing references and inconsistent values before the production cutover. Compare migrated records with expected totals and relationships. A successful import job can still leave unusable customer or inventory data.

Keep a clear audit of transformations and rejected records. Avoid silently filling uncertain values with invented defaults just to make the import pass.

Plan the decision to switch

Document the final data freeze, incremental changes, rollback conditions and who approves acceptance. Verify the integrations that depend on the migrated identifiers. Incremental modernization guidance is useful context, but the migration’s success criteria should reflect your own business records and processes.

A practical next step

  • Define active-data and history scope.
  • Approve mappings with business owners.
  • Reconcile relationships and material totals.
  • Rehearse cutover and rejection handling.
